Privacy Policy
How TraceServe POS uses and protects account, application and merchant operational information.
Who provides the product
TraceServe POS is a product of Trace Digital Systems. It provides POS & Business Management tools for approved shops and their authorised members.
Account and application information
The service uses account identity, contact details, shop application information, review decisions and membership records to manage sign-in, approval and access. Your personal profile includes your name and phone number, with an optional display name, city or town and private profile photo. Your email comes from your verified sign-in account. This profile belongs to you and remains separate from any shop membership. Information submitted with an application forms part of its review history.
Shop and customer records
Merchants enter product, customer, supplier and staff information, sales and receipts, inventory, credit, payments, expenses and cashier records. Merchants are responsible for entering appropriate information and managing staff access to it.
Uploaded documents
Shop images and uploaded supplier documents support merchant operations. Supplier invoice and delivery-note originals are kept privately with their review and purchase references. Extraction suggestions require merchant review before a purchase draft is created.
Communications and private links
Receipt and operational communications use available contact details, recorded preferences and consent where applicable. Delivery depends on configured channels. A private receipt link grants access to the receipt represented by that link; keep it private and share it only with the intended recipient.
Access and Platform governance
Business membership, action permissions and authorised locations control merchant access. Platform administration manages applications, Business lifecycle and security. Support access is limited to authorised, recorded support activity and does not confer authority to change merchant stock or money.
Retention and Business closure
Suspension or deletion of a Business ends its operational access. It is not an instruction to erase completed sales, payments, inventory movements, receipts or audit history. Historical records and linked evidence are retained to preserve transaction integrity. A person's account can remain available for other authorised Businesses.
Your account and questions
Keep your account details accurate and your sign-in credentials private. Speak to your Shop Owner about membership or location access. Use the published support information for account and privacy questions. Do not include passwords, access tokens or unrelated customer records in a support request.
