Terms of Use

Using TraceServe POS for shop operations, with clear responsibilities and retained history.

The product

TraceServe POS is a product of Trace Digital Systems. It provides POS & Business Management tools for approved Businesses. Creating a personal account or submitting an application does not activate a shop.

Applications and access

Provide accurate shop and contact information. Shop applications are reviewed before operational access is granted. Staff access requires authorised membership, and actions remain subject to permissions and location scope. Keep your personal sign-in credentials private.

Merchant responsibilities

The merchant controls its catalogue, prices, staff permissions, customer records and operational entries. Review quantities, costs, documents, payment details and recipients before confirming an action. A supplier-document extraction or suggested purchase is not a completed purchase or stock receipt.

Sales and financial records

A recorded payment reflects the merchant's confirmed entry and is not by itself payment-provider settlement confirmation. Reports distinguish cash movement, cost coverage and margin. Missing cost information must not be treated as zero cost or guaranteed profit.

Records and corrections

Completed sales, payments, inventory movements and other protected records retain their history. Use the relevant correction, reversal or review workflow instead of overwriting completed records. Acknowledging an alert does not change the transaction behind it.

Communications

Share receipts and operational messages only with appropriate recipients. Respect recorded contact preferences and consent. An unavailable or failed external channel does not mean that a message was sent or that a payment occurred.

Governance and Business deletion

Account or Business suspension can restrict access. Business deletion ends operational access and pending work without erasing protected financial, stock and audit history. It does not automatically delete the personal accounts of former members or remove their access to other authorised Businesses.

Acceptable use and support

Do not attempt to access another Business's records, bypass permissions, falsify evidence or interfere with the service. Authorised support activity is limited and recorded. Share only the information needed to explain a support issue, never passwords or access tokens.
